Meeting Minutes
November 14, 2006
Attendance: Denise and Al Dittrich, Jane and Al Hager, Tom Costello, Nancy Freeman, Ron Reibling, Carla Starck, Mary Marquardt, Tom Van Voorhis, Gary Hillman, Byron Gigler, Ida Boike, Carol Neumann, Joe Vortherms, Bill McGinnity, Kim Dudgeon, Toni Jesinoski, Kris Whitehead and Cindy Nolte
The next Booster Club Meeting will be held on Monday, December 4, 2006 at CPHS in the South Lecture Hall..

•Spreadsheet was provided to the attendees. Kim walked through the spreadsheet.
•Approved.
Denise provided an overview of the Booster Club since we had many new attendees. She talked about how the Booster Club got started, Goals, Mission and the Head Coach top priority items needed.
Fundraiser Updates:
1. Programs - Jane Hager
•Jane Hager brought a rough draft of the program and provided the following updates.
•Theme - Coach Tuch - “Getting down to business”.
•Cover - Using the theme, have JV and Varsity basketball players wear a shirt, tie and blazer with shorts and tennis shoes. Have them sitting at desks in school. Coach Tuch will handle this.
•Back - The CP Boys basketball website will be listed on the back cover of the program.
•Ads - November 29th is the deadline for getting all the ads in. The art should be given to Jane Hager and the money to Kim Dudgeon. If we have a business that would like to place an ad, but, is unable to pay until January or February, this is okay.
•How many Programs will be printed? 1,000
•Cost per program will be: $1.00
•Selling the programs - Who, Where, Time, etc...? Jane will check with Coach Tuch.
2. Raffle - Jane Hager
•Jane received the balance of the raffle tickets that needed to be printed. She will give these to Tom Costello for stapling.
•Jane provided everyone with the raffle information, such as, price points/different color tickets.
•Price of the tickets: 1 for $5.00, 4 for $10.00 or 12 for $20.00
•Ron has put the info and sample raffle tickets on the boys basketball website.
•There will be a “Blitz night” for the boys to sell raffle tickets. Jane will check with Coach Tuch on the date, etc... More info to follow.
•Denise and Jane informed everyone that all tickets must be signed out as we have to account for all tickets. Any tickets not sold, must be returned.
•Denise has a map broken down by region so the boys can be given specific regions to sell their raffles. This way we don’t have the boys going to the same house more than once.
•Goal is for each child to sell to 20 customers with a blend of the following:
10% - $5.00
40% - $10.00
50% - $20.00
•Raffle Date will be December 19th.
3. “Booster Club Warm-up” - Ron Reibling
•Overall this clinic went well. The objective was good, it gave the kids an opportunity to get in shape. It also raised money for the boys basketball program - booster club. Ron put a lot of time into this program and everyone appreciated it very much.
•The last two nights there were kids there that did not register. They were asked to leave. Unfortunately, the last night, several items, including money, was stolen from a few kids. There have been discussions regarding how to prevent this in the future, such as providing registered kids laminated cards, sign in sheets, etc... Although this incident was not isolated to this program, would like to prevent this from happening in the future.
•A parent brought up the fact that their son registered and paid, but, due to other commitments, was not able to make many of the sessions. A suggestion was to have sign ups for select nights only, punch card or a sliding scale. These are all great suggestions and will be taken into account for next year.
Special Activities:
•Nancy Freeman put together a home game calendar of special events. The calendar is broken down by the following: Theme Night, Special Admissions, Halftime Events, Guest Youth Team, 2 Guest Youth Players, Sponsor Announcements, Extras and Miscellaneous.
•Nancy also put together a list of areas and dates where we will need volunteers to coordinate events.
Nancy has volunteered to be the Communications coordinator which will provide notices to the local papers and work with the coaches and the activities office.
Carla Starck has volunteered to be the Sponsor Relations coordinator which will send out invitations and free tickets to sponsors for special recognition night and do follow up phone calls.
We need volunteers to coordinate home game events, such as greeting guest youth teams/players and coordinate other special activities. The coordinator for that game will provide the announcer with a list of sponsors and special activities for that night.
We have volunteers for the following home games:
Dec. 12th Opening Night - Denise Dittrich and Jane Hager
Dec. 19th Link Crew Night - Nancy Freeman
Jan. 5th CPTBA Youth Night - Bill McGinnity
Jan. 27th Family Day - Kris Whithead and Kim Dudgeon ???
PLEASE CONTACT NANCY FREEMAN (freewags@aol.com) IF YOU WOULD BE INTERESTED IN COORDINATING ONE OF THE HOME GAME EVENTS. More than one coordinator per home game is welcomed!
•Denise will find out who will be the announcer at the boys home basketball games.
•Photographer and Writer - Ron Reibling is waiting to hear from the school.
•Pep Band / Band - Ron is working on this. He has talked to Jackson Middle School, CPHS and Anderson Music. Notify Ron if you know anyone that has a band and would be willing to play at a game.
•National Anthem - Ron is also working on this. Would like to have a live singer! Choir or individuals. If you know someone willing to sing let Ron know.
QCTV Media:
Jane inquired with QCTV Media and provided the group with pricing information, etc...
